Getting Started
How do I create my first trip?
Tap the + button on the main screen to create a new trip. Enter your trip name, destination, and travel dates, then tap Save. Your trip will appear in the list and you can start adding activities.
What are the three trip phases?
vaykay planner organizes your trip into three phases:
- Planning: Discover and add activities, invite family members, and vote on favorites
- Scheduling: Build your daily itinerary by adding activities to specific days and times
- Active: Use during your vacation to see real-time schedule, current activities, and what's coming next
Switch between phases using the picker at the top of the trip detail screen.
Do I need an iCloud account?
An iCloud account is recommended but not required. With iCloud:
- Your trips sync across all your Apple devices
- Your data is automatically backed up
- You can share trips with family members
Without iCloud, your trips are stored only on the device where you create them.
Activities & Planning
How do I add activities to my trip?
In the Planning phase:
- Tap + Add Activity
- Enter the activity details (name, category, address, etc.)
- Add photos from your library if desired
- Tap Save
The activity will appear in your trip's activity list.
What are AI Insights and how do I use them?
AI Insights automatically generate helpful information about your activities, including:
- Activity descriptions
- Interesting facts
- Travel tips specific to the activity type
To generate insights, open an activity and tap Generate Insights. This feature requires iOS 18 or macOS 15 or later, and all processing happens on your device for privacy.
How does family voting work?
Family voting helps you decide which activities everyone wants to do:
- Add family members in the Planning phase (tap the person icon)
- Open any activity
- Scroll to the Votes section
- Tap a family member's name to add their vote
Activities are sorted by vote count, making it easy to see family favorites.
Can I filter activities by category?
Yes! In the Planning view, use the category chips at the top to filter activities. Categories include Attraction, Restaurant, Outdoor, Entertainment, Shopping, Cultural, and Other.
Scheduling
How do I add activities to my schedule?
- Switch to the Scheduling phase
- Select a date at the top of the screen
- Tap + Add to Schedule
- Choose an activity and set the start and end times
- Tap Save
Repeat for each activity you want to schedule.
How do I add flights, hotels, and transportation?
In the Scheduling phase:
- Transportation: Tap the airplane icon to add flights, trains, or car rentals
- Hotels: Tap the bed icon to add hotel reservations
Enter the relevant details like confirmation numbers, times, and locations.
Can I schedule the same activity on multiple days?
Yes! An activity can be scheduled multiple times on different days. This is useful for activities you want to revisit or restaurants you want to return to.
During Your Trip
How do I use the Active mode during my vacation?
When your trip begins:
- Switch to the Active phase
- See today's schedule at a glance
- View the current activity (highlighted) and what's coming next
- Mark activities as complete as you finish them
- Use the date selector to view other days
Tap the map icon to see all scheduled activities on a map.
How do I mark an activity as complete?
In the Active phase, each scheduled activity has a checkmark button. Tap it to mark the activity as complete. Completed activities show a checkmark and help you track your progress through the day.
Syncing & Sharing
Why aren't my trips syncing across devices?
Check the following:
- You're signed into the same iCloud account on all devices
- iCloud is enabled for vaykay planner in Settings > [Your Name] > iCloud
- Your device has an internet connection
- You have available iCloud storage
Sync may take a few moments. Try force-quitting and reopening the app.
How do I share a trip with family members?
Open your trip and tap the share icon. On iPhone/iPad, you can share via Messages, Mail, AirDrop, and more. On Mac, you can copy the trip details to share manually.
Note: Family members added in the app are for voting within your account. Use the share feature to collaborate with others who have their own devices.
What's the difference between family members and sharing?
- Family Members: Names you create within your app for tracking votes. These are local to your account.
- Sharing: Inviting other people (with their own devices and iCloud accounts) to view or edit your trip.
Troubleshooting
The app is running slowly or crashing
Try these steps:
- Force quit the app and reopen it
- Restart your device
- Make sure you're running the latest version of iOS/macOS
- Check that you have sufficient storage space
If issues persist, contact support with details about the problem.
AI Insights aren't generating
AI Insights require:
- iOS 18.0 or later, or macOS 15.0 or later
- A device that supports on-device AI processing
If you meet these requirements and insights still aren't working, try restarting the app or your device.
Photos aren't loading or saving
Check that you've granted photo library access:
- Go to Settings > Privacy & Security > Photos
- Find vaykay planner and ensure access is enabled
If you selected "Selected Photos," make sure the photos you want are included.
How do I delete all my data?
To delete all data:
- Delete individual trips by swiping left on them in the trip list
- Or uninstall the app to remove all local data
- To also remove iCloud data, go to Settings > [Your Name] > iCloud > Manage Storage > vaykay planner > Delete Data
